SmartProp Audit is a service of Asadi Business Consulting, Inc. (“SmartProp Audit,” “we,” “us,” or “our”). This Privacy Policy explains how we collect, use, process, store, and disclose information when you use SmartProp Audit, including our website, assessment platform, and related services.
By using SmartProp Audit, you acknowledge the practices described in this Privacy Policy.
1. Information We Collect
We may collect information you provide directly to us, including:
- Name
- Email address
- Telephone number
- Account credentials
- Property address and property information
- Ownership information
- Property-management company and contact information
- Information about property operations, concerns, and assessment objectives
- Communications with us
- Documents, photographs, records, and other materials submitted for an assessment
Depending on the materials you provide, uploaded documents may contain information concerning tenants, residents, property managers, employees, vendors, contractors, insurers, financial institutions, or other third parties.
2. Property and Assessment Documents
SmartProp Audit allows users to upload materials that may include:
- Management agreements
- Owner statements
- Profit-and-loss reports
- Rent rolls and occupancy reports
- Lease-related records
- Maintenance records
- Inspection reports
- Insurance records
- Vendor documents
- Property photographs
- Other records relevant to a property assessment
You are responsible for ensuring that you have the right and authority to provide materials submitted to SmartProp Audit.
You should avoid providing unnecessary sensitive personal information and, where practical, redact information that is not necessary for the assessment.
SmartProp Audit does not currently automatically detect or remove personal information contained within documents before those materials are processed.
3. How We Use Information
We may use information to:
- Create and manage user accounts
- Provide property and property-management assessments
- Review submitted documents and property information
- Identify operational issues, risks, documentation gaps, and matters requiring attention
- Prepare assessment findings and reports
- Communicate with users
- Provide customer support
- Maintain, secure, troubleshoot, and improve the service
- Prevent misuse or unauthorized access
- Comply with applicable legal obligations
4. AI-Assisted Processing
SmartProp Audit uses artificial intelligence to assist with document review, information extraction, analysis, and preparation of draft assessment findings.
Uploaded documents or information extracted from them may be transmitted to third-party artificial-intelligence service providers for processing. Depending on the document type, processing may include transmission of the document itself or text and information extracted from the document.
Because submitted property records may contain personal or financial information, information contained in those records may be included in AI-assisted processing.
SmartProp Audit currently uses Anthropic technology as part of this AI-assisted workflow.
AI-generated results are used to assist the assessment process and are not automatically released to property owners as final reports. Draft analysis is subject to consultant review before a final report is released.
AI-assisted analysis may contain errors or omissions and should not be treated as a substitute for professional judgment or independent verification.
5. Service Providers
We use service providers to operate SmartProp Audit. Based on the current implementation, these may include:
- Supabase — authentication, database services, and private file storage.
- Anthropic — AI-assisted document and information processing.
- Resend — certain transactional email communications.
- Hosting infrastructure — to host and operate the SmartProp Audit website and application.
- Calendly — when a user voluntarily follows our scheduling link to schedule a consultation.
These providers may process information as necessary to perform services on our behalf and are subject to their own terms and privacy practices.
6. Storage and Security
We use technical and organizational measures intended to protect information against unauthorized access, loss, misuse, or alteration.
Uploaded assessment documents and reports are stored using access-controlled storage. Access to assessment information is restricted according to user roles and application permissions.
However, no method of electronic transmission or storage can be guaranteed to be completely secure, and we cannot guarantee absolute security.
7. Access to Assessment Information
Property owners can access information associated with their assessments according to the permissions provided by the service.
Authorized SmartProp Audit consultants may access submitted assessment information and documents as necessary to review materials, conduct the assessment, prepare findings, and provide services.
Property managers do not currently receive automatic access to a property owner's SmartProp Audit account merely because they manage the property.
8. Retention and Deletion
We retain information for as long as reasonably necessary to provide the service, maintain business and assessment records, resolve disputes, comply with legal obligations, and protect legitimate business interests.
The application does not currently provide automated account deletion.

9. Third-Party Information
If you submit information concerning tenants, residents, property managers, vendors, contractors, or other individuals, you represent that you have an appropriate basis and authority to provide that information for the purposes of the assessment.
Please minimize unnecessary personal information in submitted records.
10. Cookies and Analytics
SmartProp Audit may use technical cookies or similar technologies necessary for authentication, security, session management, and operation of the service. If additional analytics or tracking technologies are introduced in the future, this Privacy Policy may be updated accordingly.
11. California Privacy
Depending on the applicability of California law and available exceptions, California residents may have certain rights regarding their personal information, which may include the right to request access to, deletion of, or information about the personal information we have collected.
We do not sell personal information for monetary consideration.

12. Children's Privacy
SmartProp Audit is a business/property service and is not intended for children under 18. We do not knowingly offer accounts to children.
13. Changes to This Privacy Policy
We may update this Privacy Policy as the service evolves or legal requirements change. The updated policy will display a revised effective date. Material changes may be communicated through the website, service, or other reasonable means where appropriate.
